Booking Policy & Terms of Service
BOOKING POLICY AND TERMS OF SERVICE – Discover Roatan Excursions & Tours, hereafter referred to as “DRET.”
1. Reservation and Payment: Full payment is required at the time of booking. We accept credit cards and bank transfers only. International payments must be made via credit card.
2. International Transactions: All prices and payments are in US Dollars. The customer assumes responsibility for any exchange rates and foreign transaction fees that may apply. For transactions originating outside Honduras, only credit card payments will be accepted.
3. Communications and Notifications:
All booking confirmations, receipts, tour instructions, and related communications will be sent to the email address and/or phone number provided during reservation. The customer assumes full responsibility for: Providing accurate contact information, maintaining a valid email address and phone number, monitoring their email inbox, including spam/junk folders, and ensuring their ability to receive SMS messages if provided as a contact method.
DRET will maintain records of all sent communications. However, DRET assumes no liability for: Undelivered or delayed messages, messages filtered by spam blockers, incorrect contact information, technical issues preventing message delivery, customer failure to monitor communications.
It is strongly recommended that customers add accounting@discoverroatan.net and admin@discoverroatan.net to their email safelist/contacts to ensure receipt of important tour information.
By completing a reservation, the customer acknowledges their responsibility to receive and review all tour-related communications. Failure to receive or review communications does not exempt customers from any terms, conditions, or meeting requirements outlined in such communications.
4. Arrival and Departure Requirements
a. Excursion Timing
All excursions operate on local Honduran time (UTC/GMT-6). Your specific pickup time will be confirmed during booking or prior to port arrival. While we track cruise ships in real-time, pickup times may adjust to accommodate cruise ship scheduling changes.
b. Meeting Your Guide
Upon arrival, follow the provided meet-up instructions exactly. Meet your driver/guide at the designated location at your scheduled time and present your booking confirmation and valid ID.
c. Critical Policies
Late arrivals will be marked as “No Show” and no refunds will be provided for missed departures. There are no exceptions for tardiness, unless the customer has made contact with our office by email or text, prior to the excursion start time and our office has confirmed an adjusted pickup time.
d. Return Requirements
All participants MUST return to port no later than one hour before their ship’s scheduled departure. This safety requirement is strictly enforced without exception.
Liability Notice
DRET assumes no responsibility for: missed ship departures, additional travel costs, lost excursion time, consequences of customer tardiness, failure to follow instructions
By confirming your booking at the time of booking, you acknowledge these requirements and accept full responsibility for meeting your transportation at the designated time and location. These terms are non-negotiable and strictly enforced for all participants.
5. Verification Requirements: All participants must present valid booking confirmation (digital or printed) and government-issued identification upon arrival. Any undisclosed participants are not guaranteed service and may be denied participation without refund.
6. Release & Waiver Requirements
a. Mandatory Documentation
Every participant must complete and sign a Release & Waiver of Liability Agreement Form before departure. No exceptions will be permitted. Forms must be signed as presented and modifications to the waiver terms are allowed. No alternate forms will be accepted and refusal to sign will result in tour cancellation without refund.
b. Participant Responsibilities
Each participant must review the waiver terms before booking, provide accurate personal information, disclose all relevant health conditions, accurately represent physical abilities, and sign and submit the waiver prior to excursion commencement.
c. Grounds for Tour Exclusion
Your participation will be DENIED without refund if you: refuse to sign the waiver, attempt to modify the waiver, provide false information, fail to disclose medical conditions, and misrepresent physical capabilities.
d. Medical Disclosure
Failure to disclose medical conditions or physical limitations that prevent tour participation will result in: immediate removal from the tour, no refund provided, and responsible for any additional costs incurred.
By proceeding with a booking, you acknowledge these requirements and agree to comply with all waiver terms and conditions. This policy is strictly enforced to ensure participant safety and legal compliance.
7. Transportation Services and Liability
a. Authorized Transportation
DRET carefully selects and coordinates with local transportation providers including taxis, shuttles, and tour vehicles. While we arrange these services, DRET functions solely as a booking agent for these third-party vendors.
Liability Limitations
DRET explicitly disclaims liability for: actions, conduct, or negligence of third-party transportation providers, service quality or performance of contracted vendors, accidents or incidents during transport, lost or damaged property during transit, schedule delays or changes by transportation providers.
b. Unauthorized Transportation
Any participant who chooses to use transportation services not officially arranged by DRET: assumes all associated risks, bears full financial responsibility, waives all claims against DRET, forfeits any protection under DRET’s insurance coverage (if applicable), and will void their excursion booking without refund.
Customer Protection
For your safety and security, only use transportation services specifically arranged and authorized by DRET representatives. Unauthorized services may pose risks to your safety and timely return to port. This policy exists to protect our customers and ensure reliable, insured transportation throughout your excursion experience.
8. Participant Removal Policy
DRET Authority
Tour leaders maintain absolute discretion to remove any participant whose behavior: disrupts group harmony, threatens safety, violates tour policies, impacts other participants’ experience, and creates liability concerns.
a. Grounds for Immediate Removal From Tour
Grounds for immediate removal from the tour include aggressive or threatening conduct, intoxication, harassment of others, dangerous behavior, property damage, and illegal activities.
b. Financial Implications
Removed participants:
Removed participants will forfeit all paid amounts, receive no refunds, bear all transportation costs, cover any damages caused, and pay any additional expenses incurred.
c. Voluntary Early Departure
Participants choosing to leave a tour early:
Participants who choose to leave a tour early must arrange their own transportation, will receive no refund, bear all associated costs, forfeit remaining services, and waive all DRET assistance.
This policy exists to protect the safety, comfort, and experience of all tour participants. DRET’s decision regarding participant removal is final and non-negotiable.
9. Cancellation & Refund Policy
a. Submission Requirements
All cancellation and refund requests must be submitted in writing via email to accounting@discoverroatan.net. The email subject line must include your booking or order number and the word(s) “cancellation” and/or “refund.” Requested cancellations and or refunds through a previously received automated email will not be accepted or processed. Verbal cancellations will not be accepted or processed.

b. Ship-Related Cancellations
In the event your cruise ship fails to dock in Roatan during cruise itinerary, a full refund minus the 4% processing fee will be automatically processed.
c. Processing Timeline
All approved refunds will be processed within 90 day. Refunds are processed on the 16th of each month through the end of month and refunds will be issued to the original form of payment. Processing fees are non-refundable under any circumstances.
Important Notice
The timestamp of your written cancellation email determines the applicable refund tier. All times are calculated based on local Honduran time (UTC/GMT-6). By making a reservation, customers acknowledge and accept these cancellation terms as legally binding. No exceptions will be made to this policy.
10. Transferability: With minimum 48 hours written notice, booking credit may be transferred to another DRET service or person. Any price difference will be not refunded if the new service costs less than the original booking.
11. Weather Conditions: Standard tropical weather conditions are to be expected, including periodic rain and drizzle, are not grounds for cancellation. However, full refunds will be provided if DRET determines weather conditions are unsafe for operation and the excursion is cancelled by the operator in writing.
12. Insurance Requirements: Participants are strongly advised to maintain comprehensive medical insurance with international coverage, trip cancellation insurance, and personal property insurance. DRET does not provide any insurance coverage for participants.
13. Legal Disclaimers: DRET maintains the right to modify itineraries, cancel tours, refuse service, use photographic records for promotional purposes, and remove participants for safety or conduct reasons at its sole discretion.
14. Liability Limitations: The company assumes no responsibility for personal injuries, medical expenses, lost or damaged property, third-party transportation services, events beyond company control, or missed departures due to participant error. All such risks and expenses are the sole responsibility of the participant(s).
15. Refund Processing: All refund requests must be submitted to accounting@discoverroatan.net with the booking number and “Refund” in the subject line. Please allow up to 90 days for processing. All refunds are subject to a 4% processing fee.
16. Required Documentation: A signed waiver form is mandatory before tour commencement. Participants must accurately disclose all medical conditions and present valid identification. Failure to provide required documentation will result in tour cancellation without refund. By making a reservation, participants acknowledge and agree to all terms and conditions outlined above. This policy supersedes all previous versions and is subject to change without notice.
17. Animal Encounters: Participants must at all times follow the instructions of our guides and staff. Should an individual be overly confident, eager or reckless in approaching an animal, the participant may be withdrawn from a tour or activity. Should an animal be killed because of a provoked attack, a fine per animal may be charged by a wildlife officer. Animals not confined in secured environments may or may not be available for encounters and interactions. Thus, there is no guarantee by the park, sanctuary, or DRET that a certain animal interaction will take place at time of service.
Participant(s) acknowledges and accepts all risks associated with animal encounters and releases the DRET from any liability for injuries or damages resulting from interactions with any animals during the excursion.
The terms and conditions outlined in this document constitute a legally binding agreement between the customer, participant(s), and Discover Roatan Excursions & Tours.
